Responsibilities:

  • Oversee the recruitment and onboarding process, including job postings, candidate selection, and orientation programs.
  • Handle employee relations matters, including conflict resolution, disciplinary actions, and grievance procedures.
  • Develop and implement employee training and development programs to enhance skills and knowledge.
  • Ensure compliance with labour laws, regulations, and reporting requirements.
  • Manage and lead the administrative support staff, including technical teams, receptionists, administrative assistants, and office clerks.
  • Oversee office maintenance and ensure that the workspace is clean, safe, and well-organized.
  • Provide administrative support as needed, including document management, scheduling, and travel coordination.
  • Manage and optimize the office budget, including expenses related to supplies, equipment, and office services.
  • Negotiate and manage contracts with vendors and suppliers for office-related services and supplies.
  • Review projects team’s performance on projects from concept to completion, meeting deadlines and adhering to project specifications.
  • Ensure all office equipment and technology are functioning properly, coordinating IT support as needed.
  • Develop and enforce office policies and procedures, including security and data privacy protocols.
  • Facilitate communication and coordination between different departments and employees in the office.
  • Plan and execute meetings, events, and conferences held in the office.
  • Ensure that the office complies with health and safety regulations, including emergency response plans.
  • Assist with human resources tasks, such as onboarding new employees and maintaining employee records.

Experience:

  • Proven experience in an administrative or office management role
  • Strong communication skills, both written and verbal
  • Knowledge of administrative procedures and systems
  • Familiarity with human resources processes and regulations
  • Proficiency in using office software, such as Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks
  • Excellent phone etiquette and customer service skills
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Strong organizational skills with attention to detail
  • Experience in team management or supervision is a plus.
